I would like to share with you how to easily setup a prospect management and marketing system, that will allow you to buy several additional houses per year, and maximize your return on the money you spend on marketing.
I couldn’t find anything that worked,
so I had to just build it myself!
Back when I started investing in real estate, I had stacks of papers all over my desk, post-it notes stuck all over the place, and folders piled with leads that I had no way of differentiating who was what. It was complete chaos! I got to the point where I was actually just throwing away leads because I didn't have the time to sit down and figure out what I was supposed to do next with them...
... And I don't know about you, but Inefficiencies make me absolutely crazy!
So, I absolutely knew that I needed a system that would reduce or eliminate the need to store and organize papers, and would automate as much of my prospecting process as possible. There was no doubt in my mind that my system absolutely had to be software based. However, In my pursuit of the perfect solution, all I quickly found was the limitations of existing software solutions.
There are hundreds of CRM (customer relationship management) programs available, that are used by the worlds sales force to manage their process of managing prospects. Unfortunately for us, none of them are tailored to the needs of Real Estate Investors.
I spent a great deal of time looking at all of the options... but I couldn't find anything that was practical and easy to use, so I just decided to build it myself.
Before I decided to dedicate my time fully to my Real Estate Investing business, I spent nearly a decade in the Information Technology field. I worked as a software developer on projects for companies that include Verizon and Eli Lilly Pharmaceuticals.
So, with my years of programming experience, and a determination to find a prospect management solution for my business -- I decided to build myself a software solution that would allow me to manage my prospecting more efficiently, and help keep ahead of the competition.
This of course was not the best use of my time, but I cannot tell you how frustrated I get with inefficiencies. I mean, I came to a complete stopping point and decided to just break down and fix the problem so I can get back to my main goal of getting rich with Real Estate. What?... that's your goal too isn't it?
I started the development process by asking myself…

Collect Real Estate investing specific information about prospect properties that other CRM Programs DO NOT Allow
All of the other customer relationship management (CRM) applications available, are designed to capture information about individual people as prospects, and the companies that they work for, etc.
In contrast, we are more concerned with the prospect property address, and the contact information of the owner is sometimes secondary information (for example, a bird dog gives you an address without an owners name). To make these other applications work for you, then you have to alter your information to work within them. This can be very frustrating and confusing!

I understand that although the concept is similar in all of our investing businesses, you and I may use different information and techniques to determine how we acquire our properties. So I have provided the ability for you to create up to 20 custom user defined fields to store information about your prospects that's specific to your investing business needs.
For example, if you are primarily a foreclosure investor, then you may want to keep track of the court case number, or the bank name of the foreclosure. In this case you can create these as custom fields on the prospects form to store this information in. These new fields are then searchable, can be imported into, and will be dynamically printed on the prospect detail report.
Organize prospect records by categories to
efficiently find your information
Create an unlimited number of categories to group your prospects in a way that allows you to efficiently find the information that your looking for. You can add, move and delete prospects from and within categories. You can also automatically merge and print a letter, or generate labels for all prospects within a category.
For example you may want to add a particular prospect to a category called "Multi-Family Properties". If this prospect is also in foreclosure, you can add them to the "Foreclosures" category as well. Now you can find this prospect in either category depending upon what your working on.
You can also group letter templates by categories. You may have a different letter for each type of prospect that you're following up with. Like for example the letter that you use to follow-up with foreclosure properties, may be different than the one you send to properties with back taxes due. You can organize your letters along with the prospects in these categories for easy access when your working on a particular category.
Find Prospects by ANY information using the
advanced search feature!
Included in RealProspect™ is a powerful search feature that will allow you to search for prospect records by virtually any information that you have collected about them.
If you used a system of folders to organize your prospects, trying to intelligently search through them would be insanity. Let’s say you find a buyer that is looking for a particular size house, in a specific area, in a certain price range. Now, you know you have talked to a seller with a house that meets this buyers needs, but you just have to find that file. What kind of logic could you use to anticipate this?
How could you go about organizing your folder system to provide this functionality? This makes my head hurt just thinking about it!

Find the prospects that need attention, that have not been contacted or updated in 6 months, or a year. This is a great way to keep your database up to date, and remove expired prospect records.

… And much more! There are literally thousands of search possibilities.
Once you have generated your desired search results, you can print a wide line report of the results, print mailing labels for the results, or merge and print the results list with a letter template. You can also view the details of any of the prospects by clicking on one of them in the search results list.
Now, let’s go back to that scenario with the buyer who is looking for a specific type of property. With the RealProspect™ search feature, you could create a list of prospects that meet your buyer’s needs, and barrage them with a personalized direct mail marketing campaign until you get a seller to say YES… Then put the deal together and celebrate!

Normally you would have to open a word processor like Microsoft Word, or Word Perfect, then enter in the sellers name into the greeting, update the date, etc., and then print, to create a personalized letter.

Insert placeholders in the greeting, body or anywhere in your letter templates to automatically merge in prospect information (property owners first name, property owners last name, property owners address, prospect property address, the current date).

This saves you a ton of time from having to enter it all in manually.

After you have created your letter templates, with a few quick mouse clicks, all of your follow-up letters can be personalized for your prospects effortlessly, saving you an enormous amount of time.

*Save Time by Automating your Multi-Step Direct Mail Marketing Campaigns!
This one feature alone can save you enormous amounts of time by setting up predefined mailing campaigns to automatically schedule and track your prospect mailings and notify you when your mailings need to be processed. With the RealProspectô "Campaign Manager" feature you can create multi-step mailing campaigns and define what letters have to be sent in any order you choose, at any day interval.
So, if you have a 5 step mailing campaign that you are sending to a specific list, for example a pre-foreclosure list. And let's say you want to send one letter every 5 days to each prospect on the list. You just create your letter templates for each of the 5 letters, then setup a mailing campaign and define each of the 5 steps to send a letter every 5 days.
